Project Coordinator

Salary: £20K - £22K

Location: Liphook, Hampshire

Language: Dutch & Intermediate German or above

 

The company works within the Multimedia environment and their core business is the provision

of Audience Response voting systems, for both the hire and sales market. Their clients range from large end users, such as BT, Cadburys, Visa and the BBC, to universities and management consultancies. 

The company in Liphook is divided into 4 departments: Sales, Finance, Research & Development and Operations.

 

As a "Project Co-ordinator" you would be based in the Operations Department, but as a member of the company's team your responsibilities would be to the company as a whole and you should be happy to help wherever needed.

The Work

This is an office based administrative post, although you may be required you to work

away from the office from time to time. 

Projects

Total responsibility for your own projects.  Activities involved in this include;

 

Events

Co-ordinate the logistics, finances and resources for your projects, where attention to

detail and accuracy are paramount

Be competent in organising national and international travel & freight, making the best arrangements for the most competitive price

Research client / country background requirements where appropriate, eg. liaise with Embassies and Consulates for correct import and export procedures, visas etc, to

ensure the success of the project and full support to the events team

Maintain a positive and proactive relationship with both freelance and in-house event specialists.  Responsibility for negotiating freelance pay, expenses and itineraries, in

order to keep within cost margins

Total financial management of each project, including budgeting, preparing purchase orders, recording all expenditure, authorising supplier invoices, and issuing accurate

client invoices

Managing Resources

You are responsible for booking crews for your events and co-ordinating internal resources.  It is imperative that you stay in touch with all relevant parties, notifying

them immediately of changes to their schedules and being aware of the impact of

these changes

Maintain an overview of the Operations schedule, always looking ahead to identify

potential resourcing issues

Client Relationships

The company has an excellent reputation for good quality of service. A large proportion of

our work comes from repeat business and personal recommendation. The client

always comes first.

Build and maintain a rapport with all your clients. Establish trust and respect and develop

a proactive relationship to further the business

You will eventually build up a portfolio of clients that you will always look after. These will

be your personal "Accounts"

 

Organisation

All projects and events are scheduled by the Operations Manager to ensure sufficient resources are available across the whole company. 

Ensure that the schedule is constantly updated with the changing details of your projects

Be aware of how changes to your projects ie, crew, equipment and duration will affect others

Keep efficient and clear records of all decisions and arrangements 

Maintain current systems and adhere to procedures 

 

Overall

Flexibility is required so that all necessary tasks are undertaken to promote the business as a whole.

As work schedules at the company are seasonal you should be happy to help out wherever required to support teams that may be busy when you are not and to generally help where needed.
